ProrspectMint (“we”, “us”, “our”, “Company”) is committed to your privacy. This document is our Privacy Policy (“Policy”). It describes how we handle the data you provide us with through the website https://prospectmint.com/ (“Site”), email, marketplaces and our social media accounts such as Facebook, Twitter and LinkedIn (“social media accounts”).
Handling data includes, but is not limited to, activities like collecting, organizing, storing, retrieving, transfering, using, disclosing, combining and deleting data.

Definitions
This document uses the following definitions :
Visitor : You are a visitor when you merely surf this Site.
Client : You are a client or client’s representative (“client”) when you submit your or third-party personal data through registration form on the Site, our social media accounts, email, Email Finder browser extension or Prospector, Site’s online chat or feedback forms to use the services we provide.
User And Users : A visitor or client is collectively referred to as “user” or “users”.
Data Subject : is any living individual who is using our Site or the individual to whom the data refers to.
Personal Data : means any information relating to you and helping identify you (directly or indirectly) such as your name, last name, email, location data, etc.
Processing : means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.
Services : means sourcing, lead generation and sales automation services provided by Company via online-platform and web application or mobile application based on the clients’ personal data and third-party personal data crowdsourced by clients.
Data Controller : means the natural or legal entity that determines the purposes and the manner of processing the personal data.
Data Processor : means the natural or legal entity who processes personal data on behalf of the data controller.

Our commitment
In order to satisfy our customers’ expectations and to ensure the respect of data subjects’ rights, we regularly improve internal processes. We have implemented appropriate security measures that are designed to protect your personal data from unauthorized access, disclosure, use, and modification. We regularly review our security procedures and policies to consider introducing, or improving appropriate new technology and methods, or replace or improve existing ones to better protect your data. We are not responsible for the privacy policies and practices of other websites, whether mentioned on Site or otherwise.
What information does ProspectMint collect
When you are on our website
When you're using our website, we track your usage which includes statistics such as which pages you visit and how long you look at them. This information may include but is not limited to IP address, geolocation information, browser type and information about the use of our website, including a history of the pages you view.
If you create an account, we ask for information including but not limited to: your email, your name or what company you work for. All this information is used to personalize your experience or send you onboarding emails and invoices. In cases of high risk of fraud, we might ask for a phone number for verification purposes (we never use it for marketing purposes). If you become a paying customer, we will collect your payment card information.
When you use our services
Whether it is through the API, the website, the Google Sheets add-on, or the browser extensions we provide; we monitor your usage, and log requests that you make. Those logs can include IP address, geolocation information, browser type, etc. We destroy those logs at the latest after 3 months.
When using our services, you might send us some data or data files (for the Email Discover and the Email Verifier for example).
When you contact our support
If you reach out via email or chat, we keep conversations and other data you might send during those exchanges. If you send us a request for termination, we delete your data almost instantly, typically in less than 24 hours. The data of inactive users with no active actions in their account on our Site is stored for 6 months before it is deleted. (An inactive user is a user who has registered as a user with ProspectMint but hasn’t activated their account with ProspectMint).
When someone uses the Campaigns
When connecting their Gmail or Google Workspace accounts, our users can send emails through ProspectMint. Through our dashboard, we’ll provide tracking information and help manage replies.
As ProspectMint provides an interface to organize outreach efforts, we need to store emails sent (which includes the recipients, subjects and content) and the potential replies they receive. To increase the productivity of our users, certain features might perform searches in their mailboxes; the emails returned will be temporarily stored on our servers.
The Gmail data used by the Campaigns feature is never shared with third-parties. It stays private to the user and his or her team if applicable.
When we parse public web data
We use servers to look at publicly available online pages and process business data on them. Only public pages are looked at and only publicly available online data that can be found by a search engine are indexed by our servers. If a website, via a robots.txt file, asks crawlers not to look at the content, we respect this indication.
On those public pages, we look for business data such as names, professional emails, social networks URLs, etc.

Sharing your data

There are many features necessary to provide you with our services that we cannot complete ourselves, so we seek help from third parties. We may grant some service providers access to your personal data, in whole or in part, to provide the necessary services. We use supplier assessment procedures to ensure we choose trusted partners who provide appropriate security measures and safeguards.

Data security and encryption
All data backups are either encrypted themselves or on encrypted disks. ProspectMint uses HTTPS on its Site as well as on subdomains.

To provide our services
When creating an account, you agree to our Terms of Service which allows us to process your data to give you access to ProspectMint. This way, you can have an account on our website, save and process leads, invite other team members, etc.
To improve the User Experience
We're looking at usage patterns and various statistics to understand what to improve on ProspectMint. This includes, for example, doing A/B testing on new features.
We’re also using the data that goes through our services to improve the services themselves. We only use this information to validate data we already have or that is being supplied by a user, not to enrich our databases.
To inform businesses regarding content that is publicly displayed online
To provide the service, we also give you access to the publicly accessible business data we have indexed. It is important for our users' (and the businesses they work for) to have access to the business data already shared on the web. This helps them discover relevant contacts within companies they want to reach out to.
To offer customer support
We provide customer support via email or chat, to help you take full advantage of our service or fix any problem you encounter.
To fight fraud
We actively fight credit card fraud and misuse of our services.
To market new services
We periodically launch new services. We’ll let users know about those releases if they have asked us to keep them up to date.
To comply with legal requirements
We will use or share your data to comply with the law as and when required. If required by the law, we may delay deleting your data.
To protect our rights and that of our customers
We may use your data to protect our rights, property, safety of our customers, employees, users or others; prevent misuse and unauthorized use of the Services; detect and prevent security and technical issues, financial loss or illegal activity; enforce our Privacy Policy and our Terms of Service.

You agree and understand that even when your data processing is restricted, we may still store your personal data, but may not use it further.

Duration of the processing
We will store and process your personal data for as long as needed to provide you or other clients with the services.
We store the data you have provided us with through the registration form on the Site for the entire period when you use our services. After we receive a termination request from you, we delete your data at the earliest possible opportunity, typically less than 24 hours.
The payment information you provide may be stored by our payment processor. Currently, PayPro Global, Inc. is our payment processor. Please refer to their Privacy Policy on how they store your information.
We store identifiers and usage data for the period specified in our Cookie Policy stated below.
Your messages left within the social media platforms will be kept visible as long as the privacy policies of these platforms promise you.
We store and process your personal data until we do not need it for any of the purposes defined in this policy, unless longer storage is required or expressly permitted by law.
For users of our service, we process your data as long as your account stays active and for upto 6 months of no activity in your account. Once your account is deleted, we remove almost everything within 24 hours. If you’ve paid for ProspectMint, we might keep some information regarding your company for longer to comply with our legal obligations.
If your data was found online, we process it as long as it stays online. We make sure to regularly come back where we found it, if it isn't there anymore or if we believe that your personal data that we hold is inaccurate, we remove it from our databases and stop all processing.
Cookie policy
A cookie is a piece of data stored on the user's computer tied to information about the user. ProspectMint and its partner services use cookies, along with other technologies, to identify your browser, monitor the Site, analyze user activity and track movements, the kind of device you use, etc. We may use two types of cookies, ones that are terminated and erased from your system once you close your browser or log out from the Site and ones that are stored on your computer for an extended period of time. The former helps identify your login session on ProspectMint while the latter helps track user preferences, minimize load times or provide “keep me logged in” feature on Site.
In some countries, including countries in the European Economic Area (“EEA”), some of the information mentioned above may be considered personal information under applicable data protection laws.
How to control cookies?
Using your browser settings, you can choose to reject and not store cookies on your system. If you reject cookies, you may still use our services, though some service features and functionality will not function or may be restricted.
Data controller and data processor
We are as a data controller OR a data processor in relation to personal data you provide depending on the factual circumstances of the processing.
We collect the information through the registration form on the Site, our social media accounts, email, Site’s online chat, feedback form, etc. We process this data in the capacity of a data controller.
We collect third-party information you provide us with through your personal account on the Platform OR you request us to collect. We process this data in the capacity of a data processor.
Data Security
We use data encryption and HTTPS on ProspectMint.
Our data is stored in servers that have strong physical security measures in place and follow strict security procedures. The servers also have adequate digital security and redundancy measures in place to safeguard data.
We filter incoming requests, by using a Firewall. This prevents compromise and access from non-approved IP addresses.
Other digital security measures at ProspectMint include double-authentication, regular updating of software, using automatic update mechanisms wherever feasible and available.
We do not store credit or debit card information (other than non-usable information to speed up the payment process, like the last four digits of the card).
Data Subject Age
The Platform does not knowingly collect personal data from persons under the age of 13.
By registering on the Platform and entering into the contract with the Company, you acknowledge that you have reached the age of 13 and under the laws of your country of residence you have all rights to provide us with your personal data for processing.

Changes to the Privacy Policy
This Policy may be changed from time to time due to the implementation of new technologies, laws’ requirements or for other purposes.
